You probably deal with this

Seller inboxes already contain orders, customer messages, shipping updates, and announcements. Purchase evidence needs a separate destination.

  • Order notifications drown purchase receipts

Sold notifications, buyer messages, and shipping updates bury the packaging and materials receipts you need later.

  • Packaging receipts live in shopping accounts

Mailers and tissue were bought on Amazon or a packaging site. The confirmation sits in a personal shopping folder.

  • Holiday inventory creates receipt chaos

Sep–Nov bulk buys for Q4 stock arrive as a flood of PDFs mixed with peak order volume.

  • Booth fees and craft tools get lost

Market booth invoices and one-off tool purchases vanish between craft-fair emails and personal threads.

  • Marketplace software charges are hard to find

Listing helpers and ad invoices hide until tax season—when you cannot remember which card paid which tool.

  • Personal and shop purchases share one inbox

The same mailbox holds family mail, customer chatter, and supply receipts. Sorting that for bookkeeping is a weekend job.

How Etsy sellers organize receipts with ZipReceipts

Forward → Organize → Download. One private address for shop purchases—order emails stay where they are.

  1. 1

    Forward (or upload)

When a supply or packaging receipt arrives, forward it to your ZipReceipts shop address—or upload a PDF or photo from the dashboard.

Example: kraft mailers receipt → shop@in.zipreceipts.com

  2. 2

    Organize

ZipReceipts stores and normalizes the file for your business. Receipts are renamed and available in month-scoped downloads while order mail stays in your normal inbox.

    kraft-mailers-tissue-2026-07-18.pdf in your July archive

  3. 3

    Download monthly ZIP

When you or your bookkeeper need the pack for books or tax prep, download an organized archive for the months you choose.

    Example: 2026 Q4 Shop Receipts.zip

Order mail stays. Purchase receipts leave.

Seller inboxes already contain orders, customer messages, shipping updates, and announcements. Purchase evidence needs a separate destination—so supply receipts are not buried under sold notifications when you need them for books or tax prep.

Product cost vs business expense stays with you

Whether a fabric bolt is inventory cost of goods or a packaging run is a shipping supply expense is a bookkeeping decision—not something ZipReceipts claims to decide. We retain receipts for later review and categorization in the tools you already use.

No automatic COGS tagging. No tax deductibility engine. Just organized source documents when you need them.

A maker year of receipt volume

Holiday inventory and December shipping change how many purchase docs arrive. The workflow stays the same: forward to the shop address, then download when records are due.

  1. Jan–Aug

    Normal volume

Forward materials, packaging, and tool receipts as they arrive so the archive stays current without a scramble.

  2. Sep–Nov

    Holiday inventory buildup

Bulk fabric, blanks, and packaging orders spike. Keep forwarding into the shop address while order email floods your personal inbox.

  3. Dec

    Shipping and packaging

Label rolls, mailers, and last-minute supply runs pile up. Those purchase docs belong with the shop archive—not next to shipping notifications.

  4. Jan

    Prepare records

Download the monthly ZIPs you need for bookkeeping or tax prep. ZipReceipts organizes the files; categorization stays with you or your bookkeeper.

Renamed, ready for monthly download

Forward a packaging or fabric receipt. It is renamed and can be included in that month’s download—so you are not hunting order threads when January bookkeeping starts.

Your inbox stays private

ZipReceipts never reads your Etsy or personal inbox. We only receive what you deliberately forward, CC, or upload—no Gmail access, no Outlook access, no order scraping.

  • No Gmail access

We never ask to connect to Gmail. Your order and customer mail stays yours.

  • No Outlook access

Nothing connects to Outlook or any other mail provider. There is no inbox OAuth.

  • Only deliberate sends

We only receive receipts you forward, CC, or upload. Order notifications are never pulled in.

  • Aliases you control

Rotate or disable your shop receipt alias when you want a clean break.

Fair comparison for maker receipt organization

Personal email, Drive dumps, and full accounting receipt platforms were not built as a simple destination for shop supply receipts. ZipReceipts is the private inbox plus monthly ZIP layer—not another system that imports your Etsy orders.

  • Materials — fabric, clay, wood, findings, blanks
  • Packaging & shipping — mailers, labels, postage top-ups
  • Equipment & tools — printers, presses, craft tools
  • Photography & marketing — backdrops, ads, boosts
  • Marketplace software — listing helpers, inventory apps
  • Events & booth fees — fairs, markets, pop-ups
  • Professional services — bookkeeping, legal, photography
  • Tax disclaimer — deductibility and COGS are individual; this is not tax advice

Frequently asked

Will this import my Etsy orders?

No. ZipReceipts is for business purchase receipts—not order or sales records. Order notifications stay in your normal inbox.

Can I keep supply receipts out of my order inbox?

Yes. Forward purchase receipts to your ZipReceipts address and leave order mail where it is. We never connect to your mailbox to pull anything automatically.

Do you categorize COGS automatically?

No. We store and organize the files so you can categorize in your own bookkeeping process. Product cost vs business expense decisions stay with you or your accountant.

Does this replace my shop accounting spreadsheet?

No. It feeds cleaner source documents into whatever system you already use—spreadsheet, QuickBooks, Xero, or a bookkeeper.

What file types work?

Forward common receipt emails, or upload PDF, JPEG, PNG, and HTML. Files are normalized for storage and monthly export.

Can I download by month?

Yes. Download an organized monthly ZIP (and CSV summaries when extraction data exists) whenever you need the pack for books or tax prep.

How do QuickBooks or Xero fit in?

Download the ZIP and bring those files into the tools you already use. ZipReceipts does not claim direct sync—and does not replace your ledger.

Will ZipReceipts connect to Gmail or Outlook?

No. We never ask for inbox access—not Gmail, not Outlook, not any mail provider.
