You probably deal with this

Real estate work happens away from a desk — receipt capture has to work from a phone between showings.

  • Listing photography invoices vanish into email

The shoot invoice sits next to client threads and MLS alerts. By month-end you are searching the wrong pile for a PDF you already paid.

  • Sign and lockbox receipts stay in the car

Paper tickets from install day ride in the console until they fade. There was never a quiet desk moment to file them.

  • Client gifts mix with personal mail

Printing charges, closing gifts, and open-house snacks land on the same card and inbox as personal purchases.

  • CRM and advertising receipts scatter

Portal boosts, social ads, and CRM renewals arrive all year. Gathering them for books means hunting half a dozen vendors.

  • Your assistant bought it—you never saw the PDF

Someone else paid for flyers or staging. Without a shared business address, the receipt never reaches your archive.

  • Association fees and CE arrive off-season

Dues and continuing-education receipts land when you are buried in listings—easy to lose until tax season.

How real estate agents organize receipts with ZipReceipts

Forward → Organize → Download. One private business address for marketing and ops purchases—no inbox OAuth.

  1. 1

    Forward (or upload)

Forward photography, software, and vendor emails from your phone—or upload a photo of a paper sign ticket from the dashboard.

Example: listing photo invoice → agent@in.zipreceipts.com

  2. 2

    Organize

Files land in your business workspace with normalized names and are available in month-scoped downloads. Assistants and TCs can forward to the same alias without your personal inbox.

    brightframe-photo-2026-07-18.pdf in your July archive

  3. 3

    Download monthly ZIP

Download an organized marketing and ops archive when you, your bookkeeper, or tax prep needs the pack.

    Example: 2026-07 · Agent Receipts.zip

Built for capture between showings

Real estate work happens away from a desk. Forward from your phone, photograph paper in the car, let your assistant send to the same address, and download monthly archives when you are back at a quiet screen.

  1. Step 1

    Forward from your phone

When a photography or software receipt lands in email between showings, forward it to your business address before the next appointment.

  2. Step 2

    Photograph paper

Sign install tickets and lockbox receipts often stay in the car. Snap a clear photo and upload from the dashboard.

  3. Step 3

    Assistant or TC can send

Share the same alias. Your assistant or transaction coordinator can forward without needing your personal inbox.

  4. Step 4

    Download monthly archives

When books close—or your CPA asks—download a marketing and ops receipt ZIP for the months you need.

Purchase types agents often forward

Recognizable marketing and ops expenses—not automatic tax categories. ZipReceipts stores and organizes the files; deductibility stays with you or your accountant.

  • Listing photography

Photographer invoices and seasonal reshoot sessions

  • Signs & lockboxes

Yard signs, riders, install fees, lockbox leases

  • Staging & print

Staging invoices, flyers, business cards, door hangers

  • Advertising

Portal boosts, social ads, and print placements

  • CRM & software

CRM seats, transaction tools, dialer, website hosting

  • Client gifts

Closing gifts, open-house refreshments, thank-you items

  • Association & CE

Dues, continuing education, and conference fees

  • Office & supplies

Home-office gear, printer ink, small equipment

Agent, assistant, or TC — same address

Share the business receipt alias. Anyone on your team can forward a purchase email or send a photo attachment without opening your personal mail—and without full dashboard access unless you invite them as a member.

  • Forward to the shared alias

Give your assistant or TC the business receipt address. They send purchase emails or photo attachments without opening your personal mail.

  • Invite as a member when needed

Memberships unlock dashboard upload for people who should contribute files. Viewers can review without changing settings. Forwarding alone needs no account.

  • One workspace for the practice

Today organization is the business alias plus normalized filenames and monthly ZIPs—not listing folders or transaction tags inside the product.

What ZipReceipts does — and does not — claim

You may retain receipts tied to listings or busy seasons. We keep the files organized. We do not invent transaction accounting, mileage logs, or brokerage sync that the product does not ship.

  • Not a mileage tracker

ZipReceipts stores receipt files. Keep mileage logs in the method you already use—apps, spreadsheets, or your CPA’s template.

  • Not brokerage accounting sync

There is no direct sync to brokerage ledgers today. Download monthly ZIPs and CSVs and bring them into your existing process.

  • Not transaction accounting

You may keep purchase docs that relate to a listing period. ZipReceipts does not claim deal P&L, commission tracking, or transaction folders.

  • “Realtor” is not required

This page is for real estate agents generally. Realtor® is a membership mark—we use it only when referring to that trademark accurately.

Renamed, ready for monthly download

Forward a photography invoice or upload a sign-install photo. It is renamed and can be included in that month’s download—so you are not hunting car consoles and MLS threads when records are due.

Demo UI matching the product inbox — not a live account.

Example vendors on this page—photographer, sign company, printer, CRM, association—are fictional illustrations of common agent purchases. Association names that include “Realtor” refer to membership contexts only.

Your inbox stays private

ZipReceipts never reads your personal or brokerage inbox. We only receive purchase receipts you deliberately forward, CC, or upload to your business address.

  • No Gmail or Outlook connection

Nothing connects to your mailbox. Client and MLS email stays where it is.

  • Only deliberate sends

Forward, CC, or upload. Your assistant can send to the alias without opening your personal email.

  • Business receipts stay separate

Marketing and ops purchase docs live in ZipReceipts instead of mixing with personal correspondence.

  • Aliases you control

Rotate or disable your receipt alias when you change teams or want a clean break.

Fair comparison for real estate agent receipt organization

Personal email, shared Drive folders, and full accounting receipt platforms were not built as a simple mobile destination for agent marketing receipts. ZipReceipts is the private inbox plus monthly ZIP layer—not brokerage accounting software.

Frequently asked

Can my assistant send receipts?

Yes. Forward to your business receipt address or invite them as a member to upload from the dashboard. They do not need access to your personal inbox.

Do you track mileage?

No. ZipReceipts stores receipt files. Use your preferred mileage method separately—apps, logs, or whatever your CPA recommends.

Is “Realtor” required in the product?

No. The page is for real estate agents generally. Realtor® is a membership mark we use only when accurate—not as a generic synonym for every agent.

Will this sync to my brokerage accounting tools?

Not directly today. Download monthly ZIPs and CSVs and use them in your existing process. ZipReceipts does not claim brokerage ledger sync.

Is this accounting or tax software?

No. It collects and organizes receipt files so your bookkeeping tools and tax prep stay cleaner. It does not replace QuickBooks, Xero, or a tax preparer.

What file types work?

Forward common receipt emails, or upload PDF, JPEG, PNG, and HTML from the dashboard. Files are normalized for storage and monthly export.

Can I download by month?

Yes. Download an organized monthly ZIP (and CSV summaries when extraction data exists) whenever you need the marketing and ops pack.

How do QuickBooks or Xero fit in?

Download the ZIP and bring those files into the tools you already use. ZipReceipts does not claim direct sync—and does not replace your ledger.

Will ZipReceipts connect to Gmail or Outlook?

No. We never ask for inbox access—not Gmail, not Outlook, not any mail provider.

Give your practice a receipt address this week

Forward the next photography or CRM receipt from your phone—and download one ZIP when books or tax prep asks.
